The situation
A fire drill had not been recorded for fourteen months at the main site, though staff believed one had happened.
Refrigeration and racking contractors were on site regularly; nobody could say when their insurance expired.

What changed
One fire picture per site
The fire risk assessment was rebuilt from the library template and scoped to the site. Two supervisors were flagged as fire marshals. Extinguishers and the alarm panel became assets with service dates.
Contractors approved on evidence
Each contractor was entered with insurance, SAQ and certification documents and their expiry dates. Expiries feed the calendar thirty days out.
Policies by role
Manual handling, forklift operations and cold-store working procedures were assigned by job role. Staff read and sign on their phones; the document shows who has not.
Log the drill
The next drill was recorded with evacuation time and headcount. A blocked fire exit found during it became an action with an owner and a date.

Contractor cover is checked before it lapses, not discovered after.
